If you’re staring at a stack of IR56B forms and trying to decode the IRD’s website, you’re probably feeling a mix of confusion and panic. You aren’t alone. Every year, thousands of business owners and HR managers in Hong Kong pull their hair out trying to figure out how to submit their Employer’s Returns.
The good news? The government’s eTAX system and e-filing services are actually incredibly powerful and can save you hours of administrative nightmare—if you know how to speak their language.
Today, we’re going to walk you through the New Tax Portals like an industry insider. No heavy government jargon, no confusing legal speak. Just a straightforward guide on how to get your employer tax duties done quickly and legally.
Introduction to Hong Kong Employer’s Return e-Filing via eTAX
Let’s demystify the acronyms. The IRD uses an overarching system called the eTAX Platform. Think of eTAX as the giant digital office building where all tax business happens. Inside this building, there are three different “rooms” you can enter, depending on who you are:
1. Individual Tax Portal (ITP) – The Solo Setup:
This is essentially your personal tax account. If you run a sole proprietorship (you are the sole owner of the business), this is where you manage your employer duties. You log in here to handle your own taxes and your employees’ taxes all in one place.
2. Business Tax Portal (BTP) – The Corporate Hub:
If you run a standard limited company with multiple staff members, this is your go-to. The beauty of the BTP is that it allows for multi-user access. You can appoint an “Administrator” (like your HR head) and “Authorized Users” (like payroll staff) to handle the heavy lifting of data entry, without giving them the keys to the entire kingdom.
3. Tax Representative Portal (TRP) – The Outsourced Pro:
Did you hire an accounting / taxation service provider to handle this mess for you? This portal is for them. It allows registered tax agents to manage multiple client accounts seamlessly.
In fact, this is exactly the portal our team uses when you engage our tax representative services. We link directly to your employer profile to handle the heavy lifting and ensure your company remains 100% compliant without you having to lift a finger.
How They Connect
These portals talk to each other. For instance, an HR manager can prep the files in the BTP, and the boss can log into their ITP to officially sign off on it. It’s a seamless digital relay race.
Employer’s Return e-Filing Submission Methods: Online Mode vs. Mixed Mode
When it’s time to actually submit your Employer’s Return (that’s the BIR56A form) and your employees’ income details (the IR56 forms), you have two main choices.
Online Mode: Direct e-Filing and Digital Signature via eTAX
What it is: You do everything on the computer, from start to finish. You can type the employee data directly into the system or upload a data file.
The Catch: It requires an Authorized Signer (which means the Proprietor, Director, Company Secretary, or Principal Officer) to log into their personal eTAX account and digitally sign the submission using their password or “iAM Smart+” app.
Best for: Small businesses where the boss is hands-on, or companies that want zero paper involved.
Mixed Mode: Data File Upload and Paper Control List Submission
What it is: Let’s say your boss is too busy to log into eTAX, or you don’t want to bother them with digital certificates. Mixed Mode is your best friend.
How it works: Anyone (like an HR admin or an outsourced accountant) can upload the prepared employee tax data file to the system. You don’t even need an eTAX account to do the uploading! Once uploaded, the system spits out a Control List.
A Control List is basically a 1-page summary receipt with a QR code. You print this single page out, hand it to the Authorized Signer (the boss) to sign with a real pen, and mail it to the IRD along with the paper BIR56A form. Boom. Done.
Generating Data Files with the IRD IR56 Forms Preparation Tool
Whether you use Online or Mixed mode, if you have more than a handful of employees, don’t type them one by one. Use the IRD’s IR56 Forms Preparation Tool. It’s a free piece of software provided on the portal that lets you generate a clean, IRD-approved data file (up to 2,000 records per file) that you can just drag and drop into the submission portal.
Managing Employer Profiles, Tracking Status, and IRD Enquiries on eTAX
The new e-filing portals aren’t just for that one terrifying week in April; they are year-round management tools.
Managing Your Employer Profile
Moved offices? Don’t waste time mailing a physical letter to the IRD. You can update your business correspondence address directly through the portal in minutes.
Tracking and Retrieving Filings (The 3-Year Rule)
Ever had an employee ask for a copy of their tax return from two years ago, and you can’t find the file? If you submitted via Online Mode, the portal acts as a digital filing cabinet. You can retrieve your filed BIR56A and IR6036B forms (with official acknowledgments) for the latest 3 years. But if you use Mixed Mode or paper, you cannot retrieve these online later. Keep your own backups!
Communication and Enquiries
Forget waiting on hold listening to elevator music. The portals have a “Make a Request / Reply” feature. It’s essentially a secure email inbox directly to the IRD. You can lodge specific enquiries, and the IRD will send you e-alerts when your Employer’s Return is issued and when the deadline is looming.
Streamline Your Hong Kong Tax Filing with eTAX
Dealing with Hong Kong taxes doesn’t have to be a paper-pushing nightmare. By leaning into the e-filing system and choosing the right portal setup for your team (whether that’s going full Online Mode or utilizing the Mixed Mode workaround), you can turn a multi-day headache into a quick afternoon task.
However, if you’d rather skip the portal setup entirely and hand the administrative burden over to the experts, our tax representative team is here to help. We can manage your e-filing from start to finish—reach out to us today to make your next tax season completely stress-free.
